This Privacy Notice explains how I collect, use, store and protect your personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

I am the Data Controller for the personal information you provide during your therapy.

What Information I Collect

I may collect:

• Your name, contact details and date of birth.
• Emergency contact and GP details (where provided).
• Information shared during your initial enquiry or assessment.
• Brief clinical notes relating to our work together.
• Appointment and payment records.
• Email or text correspondence relating to appointments.

Why I Collect Your Information

I collect and process your personal information to:

• provide counselling and psychotherapy;
• arrange and manage appointments;
• maintain appropriate clinical records;
• meet legal, professional and insurance obligations;
• manage my practice safely and ethically.

Confidentiality

Everything discussed in therapy is treated confidentially. However, there are circumstances where confidentiality may need to be broken, including where there is a serious risk of harm to yourself or others, safeguarding concerns involving a child or vulnerable adult, or where disclosure is required by law. Wherever possible, I will discuss this with you first.

As part of my professional practice, I attend regular clinical supervision. Your work may be discussed anonymously to support safe and ethical practice.

Storage and Retention

Your records are stored securely using password-protected and encrypted systems. Any paper records are kept in a secure location.

Client records are retained for five years after therapy ends, in line with my professional insurance requirements. Records relating to clients under 18 are retained for five years after their 18th birthday. After this time, records are securely destroyed.

Sharing Information

Your information will only be shared:

• with your consent;
• where required by law;
• where there is a safeguarding concern or serious risk of harm;
• anonymously during professional supervision.

Your rights

Under UK GDPR, you have the right to request access to your personal information and request correction where appropriate. You also have the right to complain to the Information Commissioner’s Office (ICO) if you have concerns about how your information is handled.
